Key Responsibilities

Onboarding & Learning Operations Leadership

  • Own the operational execution of Commercial onboarding programs, ensuring a seamless and consistent experience for new hires.

  • Manage onboarding timelines, milestones, and dependencies from pre‑hire planning through training completion.

  • Oversee learner roster management, including tracking new hire start dates, vacancies, training assignments, and key touchpoints.

  • Partner with training leaders and regional stakeholders to ensure readiness for onboarding and training delivery.

  • Ensure accurate tracking of learner progress, completion, and compliance within the Learning Management System (LMS).

  • Oversee completion documentation, reporting, and certifications to ensure data integrity and audit readiness.

  • Support logistics for in‑person and virtual training programs, including schedules, materials, technology, and session coordination.

Project Management

  • Lead planning and execution for multiple onboarding and training initiatives simultaneously, applying structured project management practices.

  • Develop and maintain program plans, project timelines, risk logs, and status reporting.

  • Proactively identify risks, resource constraints, and scheduling conflicts; drive mitigation strategies and solutions.

  • Coordinate cross‑functional workstreams to ensure alignment, accountability, and timely delivery.

  • Provide clear, regular updates to CL+D leadership and stakeholders on program status, risks, and outcomes.

  • Support prioritization and capacity planning across learning initiatives.

Stakeholder & Vendor Management

  • Serve as a primary point of contact for onboarding and learning operations stakeholders across CL+D and Commercial teams.

  • Build strong partnerships with trainers, onboarding leads, and business leaders to ensure alignment and engagement.

  • Manage relationships with external vendors and agency partners to ensure deliverables meet quality, timeline, and program expectations.

  • Communicate effectively across multiple levels of the organization to drive clarity and decision‑making.

Continuous Improvement & Operational Excellence

  • Identify and lead opportunities to streamline onboarding and learning operations processes.

  • Drive standardization, documentation, and best practices across onboarding and training programs.

  • Support implementation and adoption of new systems, tools, and workflows related to learning operations.

  • Leverage data, feedback, and lessons learned to improve program effectiveness and learner experience.

  • Contribute to a culture of continuous improvement within CL+D.

Travel

This role may require limited travel (up to approximately 20%) to Foster City, CA or other locations in support of onboarding and training programs.

Basic Qualifications

Bachelor's Degree and Six Years' Experience

OR

Masters' Degree and Four Years' Experience

Preferred Qualifications

  • 5+ years of experience in Learning + Development, Learning Operations, Project Management, or a related function.

  • Demonstrated experience in learning operations, onboarding, program management, or project management.

  • Strong project management skills with the ability to manage complex, multi‑workstream initiatives.

  • Proven ability to operate independently while influencing across teams and stakeholders.

  • Excellent written, verbal, and interpersonal communication skills.

  • Strong organizational, prioritization, and problem‑solving capabilities.

  • Proficiency with Microsoft Office (Excel, PowerPoint, Word, Outlook), collaboration tools (Teams, Zoom), and project management tools such as Smartsheet.

  • Experience working in fast‑paced, matrixed environments.

  • Experience leading onboarding programs for Commercial or field‑based teams.

  • Familiarity with Learning Management Systems (LMS) and learning analytics/reporting.

  • Project management certification (PMP, Agile, or similar) a plus.

  • Ability to support programs across multiple time zones.


The salary range for this position is: $133,195.00 - $172,370.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
