Job Description

The role is accountable for Resource Management and Forecasting-maintain and update resource capacity and algorithms in Planisware or equivalent systems. Review and analyze resource utilization trends to support strategic planning and budget alignment. Reporting & Data Quality-ensure consistency and standardization of resource data across dashboards and reporting tools (e.g., Tableau, Power BI, Spotfire) Design, develop and generate resource allocation reports for leadership and project teams. Monitor data quality and resolve discrepancies in planning systems and SharePoint sites. Support project planning activities in Planisware. Systems & Tools Management-act as the point of contact for resource planning tools and systems, including issue resolution, updates, and enhancements. Supports user acceptance testing (UAT) and facilitates training for resource & planning systems. The position will report to the Director of Business Strategy & Operations.

Responsibilities

  • Utilizes business-specific portfolio and project information in the Planisware system to facilitate portfolio and resource planning reviews that support the Annual Operating Plan.

  • Delivers holistic view of resource capacity and allocation across business functional areas. Ensures potential resource capacity issues (shortfalls) are surfaced and discussed in a timely fashion.

  • Partners with subject matter experts in business lines on the design, development, and maintenance of resource estimating assumptions (algorithms), drivers, and templates for use in generating algorithmically derived demand forecasts utilizing Planisware.

  • Manages resource and cost assessments related to internal Kite portfolio optimization opportunities (e.g., project accelerations, buy-ups, etc.) for supported Functional Lines.

  • Partners with senior leaders to ensure organizational resources are optimized and appropriately aligned to business priorities across the business functional areas.

  • In partnership with Finance, perform comparison analysis of Planisware demand forecast with financial forecasts of costs “Latest Estimate” and reconcile business drivers for explaining differences.

  • Proactively surface potential resource and cost related issues to key stakeholders and recommend go-forward actions / sourcing solutions.

Qualifications:

  • A bachelor’s degree in nursing, science or health related field required with 10+ years’ experience or an advanced scientific degree with 8+ years’ experience in pharmaceutical drug development.

  • Minimum 8+ years’ experience in business operations, resource management and/or project management discipline in the pharmaceutical industry.

Preferred Qualifications:

  • 5+ years’ experience using Planisware creating and maintaining clinical project plans, templates, and styles strongly preferred.

  • Experience in Biotech/Pharma is strongly preferred

  • Knowledge and experience with external best-practices and perspectives to support new approaches and strategies. Demonstrated ability to effectively implement tools and techniques in the project and resource management discipline. (PMP certification a plus)

  • Deep knowledge of the end-to-end pharmaceutical R&D process, including preclinical through post-marketing. (Cell therapy/Oncology preferred)

  • Adept at optimizing resource utilization, driving operational efficiencies, and aligning strategic priorities with project execution.

  • Experience supporting cross-functional resource demand with the ability to consolidate, translate and provide resource analyses and portfolio data to leadership and project teams.

  • Strong analytical and problem-solving skills with the ability to multi-task, prioritize, and work on several complex projects while exercising critical thinking with minimal supervision.

  • Strong technical expertise to facilitate the design and development of resource-related dashboards and reports

  • Experience using project and/or resource management systems and reporting tools to (e.g., Microsoft Excel, Microsoft Project, Planisware, SharePoint, OnePager, Spotfire, Tableau, Power-Bi, etc.)

  • Excellent interpersonal, verbal, and written communication, and organizational skills essential in this collaborative work environment. Proven ability to negotiate, influence and problem solve.

  • Ability to prioritize and execute tasks both as an individual contributor and in a team-based setting.

  • Demonstrates ability to work independently and collaboratively in a fast-paced dynamic environment.
