Project Coordinator Job Description
We are seeking a highly motivated individual to join us as Project Coordinator, Clinical Operations, located at our Santa Monica, California location.
In this role you will support Clinical Operations reporting to the Head of Business Operations and Strategy but work cross functionally with all other departments within the Clinical Operations Site providing Project Management and Business Operations Support:
Responsibilities (include, but are not limited to):
- Support strategic planning and development of departmental goals/objectives.
- Achieve organizational goals while upholding standards and best practices
- Develop tools and processes to support Business Operations.
- Assist the Head of Business Operations and Strategy in fulfilling the duties of the position.
- Provide project management support to site projects.
- Manage multiple projects and priorities simultaneously in a fast-paced environment.
- Conduct administrative duties, such as setting up meetings, drafting presentations and creating excel documents for analysis.
- Manage and facilitate meetings from drafting agendas and slidedecks to reporting meeting minutes and following up on actions to completion with efficiency, accuracy and timely.
- Liaise with leadership and team members to identify and define project requirements, scope and objectives that align with organizational goals.
- Ensure all parts of an assigned project are processed, organized, and progressing according to predetermined timelines and deliverable dates
- Assign roles and tasks to dedicated team members, based on individual strengths and abilities and check in for status updates.
- Report project outcomes and/or risks to the appropriate management channels as needed—escalating issues as necessary based on project work plans
- Monitor and assign resources appropriately to streamline project efficiency and maximize deliverable outputs
- Maintain dashboards in SharePoint/My Teams/Clarity.
- Organize, lead and facilitate cross-functional team meetings, agendas, project reviews, meeting minutes and action item follow-up by working closely with the team leaders.
- Develop and maintain project performance databases that track overall progress and the accomplishment of specific milestones
- Build the skill sets of individual team members and capture overall learnings for the company
- Act as a point of communication between company teams and external resources
- Deepen partnerships with outside resources—including third-party vendors and researchers
Skills and Qualifications
- Bachelor’s degree in business or related field
- 2+ years’ project management experience
- Hands-on experience with managing and facilitating teams
- Ability to work independently and together with a cross-functional team
- Ability to apply excellent problem-solving skills to technical challenges
- Excellent multi-tasking skills and ability to work in a high-paced environment with minimal supervision
- Strong written, verbal, and presentation skills and proficient in Microsoft Applications including Project, Smartsheet and Clarity
Basic Qualifications
- Bachelor’s degree Or
- AA degree with 2+ years of experience in operations in a biotech/pharma industry Or
- High School diploma with 3+ years of experience in operations in a biotech/pharma industry
Preferred Qualifications
Master’s degree in relevant field
