This role resides in the Sales Analytics & Operations department, within Commercial Operations function, reporting into the head of Commercial Contracts Governance & Operations team. This role is part of a dedicated team of Commercial Contract Coordinators, who will support the day-to-day operations of the US commercial contracts process, which will improve speed to execution, drive process improvement and increase compliance.
Primary Responsibilities and Qualifications:
- ·Provide support to the commercial business in executing work orders by following well established SOPs
- Acts as a single point of contact for the end-to-end execution of the commercial contracts process, while working with
- multiple stakeholders and internal partners
- Contract Coordinator team is embedded within the Commercial business to drive training & education, process improvement and compliance
- Manage a wide range of legal documents [Ex: MSAs, CDAs, Work orders etc] to support commercial organizations in collaboration with Commercial Project Team Leads.
- Vendor Management: vendor onboarding process, contracts process, template management, DocuSign, invoicing, manage business relationship as main liaison for contracts, and closeout procedures
- Supports as a technical resource/SME for our internal contracts workflow platform (CPAF), our contract automation tool (G.CAT), and our overall contracts process along with other internal department tools.
- Recognizes need and maintains database maintenance in all tools, reports, and information management
- Preforms analysis, data integrity, and quality control checks to identify areas of improvement on contract request and oversee reporting to management
- Research and resolve questions from stakeholders pertaining to contracts, systems, PO’s, vendor onboarding etc.
- Must be willing and able to collaborate across many individuals within Gilead, including Legal, Privacy, IT Security, Procurement, and various compliance teams
- Develop training content and provide continuous education and training to stakeholders in individual 1:1 settings or small group settings
- Demonstrate excellent judgment to escalate appropriate matters to the applicable channels when needed and is curious to learn and develop
- Maintains visibility across the entire process and assists with the development of policies and procedures, including creating and updating contract templates.
- Appropriately manage workflow, set appropriate priorities with clients, and deliver results efficiently
- Think creatively, devise solutions to challenging problems, and effectively drive issues to closure
- Advance a positive spirit of partnership and fosters team camaraderie.
Knowledge and Skills:
Extensive knowledge and understanding of Gilead Sciences Contract process and systems involved in the contracts processing
Time management skills and demonstrated ability to multi-task with minimal errors
Strong Project Management Skills and ability to work under minimal supervision
Ability to work with and coordinate demands from multiple internal customers; highly collaborative
Demonstrate ability to take initiative is preferred:
Excellent task management skills including proactivity planning prioritization and objective setting
Ability to recognize and interpret business issues/opportunities and recommend solutions
Ability to work on moderately complex assignments, but requires judgement in resolving issues or making recommendations.
Present information in an accurate and persuasive manner to all levels of management.
Fluency in conversational and written English is required
Ability to provide high-level professional support executives and to establish effective working relationships with a diverse range of Stakeholders through interpersonal, verbal, and written channels.

Understanding/awareness of the pharmaceutical business model
Required Qualifications:
3+ years of experience with High School diploma or 2+ years with AA
Flexibility and willingness to learn new processes and skill sets.
