The Role:
Initiating vendors and Purchase Orders for PD lab materials and services. Manages and tracks Purchase Orders. Becomes proficient in resolving issues. Develops reports and process improvements.
Responsibilities will include, but are not limited to, the following:
- Learn and become proficient in operating the Ariba SAP system
- Supplier onboarding - Engage new suppliers to gather onboarding forms and setting them up to transact with Kite. Collaborate with Accounts Payable to correct issues with supplier accounts.
- PR/PO Management - Perform procurement due diligence acquiring multiple quotes for POs over $100K.
Train & support requesters on the PD materials order form.Track and forecast Blanket POs to ensure remaining funds cover future services w/o payment disruption. Monitor aging purchase request following up with pending approvers preventing delays. Close old POs once items are received to maintain hygiene and project accurate committed spend. Support the request of work order agreements from Legal (K.A.P) and track expiration of current ones. Engaging sourcing to leverage the best and preferred suppliers per the category strategy. - Invoice Reconciliation - Identify invoice holds & resolve payment issues (receiving, incorrect billing, lack of funds, etc.). Serve as the primary POC for suppliers and Accounts Payable to resolve invoice hold issues.
- Tracking and Analysis - Provide reporting on PTP metrics like Open POs, Invoice Holds, and Ad Hoc questions. Monitor and request updates on shipping/delivery status from supplier. Orchestrate product returns and facilitate international shipments (e.g. brokers/customs). POC for resolving and expediting SPARC tickets ensuring timely resolution. Conduct daily meetings with stakeholders to discuss and resolve current issues.
- Process improvement – Candidate will utilize their knowledge/experience to identify a process improvement or automation opportunity.
Basic Qualifications for Undergraduate Intern:
- Be at least 18 years or older
- A minimum GPA of 2.8
- Eligible to work in the United States without work authorization sponsorship now or in the future
- Currently enrolled in a full-time undergraduate degree program at an accredited U.S. based university/college
- Completed at least one year of study at an accredited university/college prior to internship commencing
- Enrolled full-time in the Fall Semester at an accredited U.S. based university/college after the completion of the internship – with earliest graduation date of December 2024 or Spring/Summer 2025
- Able to complete a 10-12 consecutive week internship between May and August
- Able to relocate if necessary and work at the designated site for the duration of the internship
- Not be employed at the time the internship starts
Preferred Qualifications:
- Currently enrolled in bachelor’s degree with emphasis in business administration or project management or procurement or supply chain
- Proficiency with MS Office Suite and SmartSheets
- Ability to identify issues and seek solutions
- Ability to work both independently and collaboratively in cross functional teams in fast pace, dynamic team setting
- Efficient, organized, and able to handle short timelines in a fast-paced environment
- Experience and/or interest in the Biotechnology, Pharmaceutical or health-care industry
- Knowledge and understanding of Good Manufacturing Practices (GMP) and regulatory policies
- Solid communication verbal and written
- Time management and prioritization
